Guide: How to book charter buses, minibuses, coaches

The price of charter transport depends on so many factors that it is difficult to give a single fixed pricing rule. How close is the operator’s depot to the departure location? How well does the route and timetable fit with the operator’s other assignments on the same day? Are drivers readily available, or will overtime or substitute drivers be needed?

Charter transport is tricky because so many variables affect the price. However, one old rule always applies: the better you prepare your request for quotation, the better offers you will receive.

Plan your bus trip carefully to receive better offers

Define the routes precisely. Already at the request-for-quote stage, state the exact departure location, destination, and all planned intermediate stops with their durations. This allows the operator to plan the trip correctly from the start and avoids later surprises, for example regarding driver working hours.

Give exact dates and times. If you are not yet fully certain, provide your best estimate. When planning, it is good to note that a driver’s maximum working day on day trips is around 14 hours. For this reason, trips are often cheaper when the total duration does not exceed 14 hours. The length of the day means the time from departure at the first pickup point to arrival at the final destination.

State the number of passengers. You can give an estimate, but the more accurately you know the group size, the better offers you will receive. What matters most to operators is whether you need a minibus (up to 15–18 passengers), a coach (up to 49–60 passengers), or several buses (over 60 passengers).

Choose the right bus for your group

  • A standard minibus fits up to 15 people, but the largest minibuses can carry around 20 passengers. Luggage space is limited in minibuses, so operators also need to know how much luggage you have.
  • Most tourist coaches have 49 seats, although 50–60 seat coaches also exist.
  • If your group exceeds 60 passengers, the price increases significantly, as you will need multiple buses or special large double-decker coaches.

Timing matters when requesting quotes. Start your tendering process early. If operators’ calendars are already full, you will receive fewer and more expensive offers. Be patient when waiting for offers. Especially during busy periods in spring and autumn, operators have many requests to handle. They often send quotes only a few times per week, so the first offers may take some time.

Most quotes are sent on weekdays. Requests made over the weekend are often answered the following week. A good rule of thumb is to allow 1–2 weeks to receive all offers.
